Planning an international teamwear order: dates, packing and delivery

For a club ordering teamwear internationally, the event date is only one part of the schedule. Artwork approval, size confirmation, production, packing and transport all need to be coordinated. Tell the supplier when the team needs to receive the garments, rather than giving only the tournament date.

Work backwards from the required arrival date

Allow time for the club to distribute garments and check its order after arrival. Agree the design review and roster deadlines first, then ask for a production and transport schedule based on the final quantity and destination. Do not treat a website preview or a generic shipping estimate as a confirmed delivery promise.

Confirm the full destination

Provide the recipient organisation, delivery address, postal code and an appropriate contact for the shipment. Tell the supplier about venue restrictions or a date on which nobody will be available to receive the order. Confirm whether the delivery is going to the club office, a distributor or another agreed location.

Separate the costs and responsibilities

Ask the written quotation to explain what is included in the garment price, transport charges and any agreed import-related costs. Confirm who is responsible for the shipment paperwork and who pays applicable duties or taxes. FedEx’s international shipping guidance explains why the shipment details, commercial invoice and agreed terms matter. See FedEx’s international shipping overview.

Requirements and charges depend on the shipment and destination. Ask the appointed carrier or an appropriate local adviser about the actual order; this checklist does not provide a tariff estimate or customs classification.

Agree how a multi-team order will be packed

Specify whether you want items grouped by squad, garment or another agreed method. Provide one final roster, and make any requested labels clear. An itemised packing record can help the club reconcile quantities and distribute its kits.

Keep the approval and shipment records together

Save the quotation, approved artwork revision, size breakdown, packing information and tracking details. If the club changes its roster after approval, request written confirmation of how that change affects the order and schedule.

Start with a complete inquiry

KITVERRA welcomes inquiries from clubs, academies and wholesale buyers in the USA, Canada, Australia, the UK and Europe. Use the inquiry form to share the sport, garments, quantity, personalisation, delivery destination and required arrival date. Availability, samples, production timing and shipping arrangements are confirmed for the specific order in a written quotation.
